All-in-One Copier Features
Just because an AIO can do everything doesn’t mean you need it to do everything. The greater the functionality of a multi-function device, the larger its sticker price. Avoid spending more than you need to as well as failing to get the functions you need by keeping the following points in mind.
- MFDs are divided into two basic categories: 3-in-1 (print, scan, copy) and 4-in-1 (print, scan, copy, fax). With faxes becoming obsolete, the question must be asked whether the fax function is needed at all. If it is, do you want the added utility of the PC fax function (which lets you send faxes from your computer in addition to standalone faxing from the copier’s keypad)?
- Do you need network scanning? A network (or IP) scanner is installed on and shared over a network, allowing a document or photo to be scanned on the MFD and sent to computers on the network. A local scanner, on the other hand, connects to the scanner via USB.
- If copying is a prime function of the device, it should allow for standalone copying (no PC required).
- Some MFCs allow direct email scans (i.e. “scan and send,” a function that lets you scan a document on the device and send it directly to an email recipient, rather than doing this through a PC, i.e. Scan to Desktop). Other network scanning options include Scan to FTP and Scan to URL.
- The various network functions (network scanning, network printing, etc.) of an MFP copier assume that the machine does, in fact, have Ethernet and Wi-Fi connections. Most machines should have this type of connectivity.
- It almost goes without saying that multi-function copiers double as a network printer for your office. Printing and copying from the same device, however, increases its duty cycle (the amount of prints a machine can safely make per month), as does receiving faxes. Don’t forget to calculate the total print output from all input sources when determining the machine’s duty cycle.
- Make sure that the multi function copier (MFC) has sufficient speed (expressed as page per minute, or ppm capability).

What Are Average Costs of Business Copier AIOs?
- Home or home office all-in-ones are widely available for under $1,000, and some very basic machines (print, scan, copy, speeds up to 20 ppm, duty cycle of 1,000 to 2,000 pages) cost less than $500.
- Business class all-in-ones start at $1,000 to $5,000 but can cost as much as $50,000 to $60,000.
- All except the largest organizations should find an all-in-one with print speeds of 30 to 60 ppm more than sufficient.
- For example, an AIO copier that runs 55 ppm, 200,000 page/month that copies, emails, prints, and scans costs between $15,000 and $20,000.
- An AIO machine with up to 35 ppm print speeds and a 125,000 page/month duty cycle that prints and copies averages between $8,000 and $12,000.
- An AIO that copies, prints, and scans at speeds of 25 to 30 ppm, with a duty cycle of 100,000-125,000, might cost roughly $7,000 to $10,000.
- Rather than purchasing an all-in-one, consider leasing a copier.
